The basics

What Birsend is, and who it is for.

What is Birsend, in one sentence?

A panel for sending WhatsApp messages from a number you already own — campaigns to a list, a shared inbox for the replies, and rules that decide who may be messaged and when.

Is this the official WhatsApp Business API?

No, and that is the main thing to understand before signing up. Birsend drives an ordinary WhatsApp account by pairing with it, the same way WhatsApp Web does. There is no Meta business verification, no template approval queue and no per-message conversation fee. The trade is that you are working inside a consumer account rather than a commercial agreement, so the discipline about consent and pace is on you and on us rather than on a review process.

Who is it built for?

Small and mid-sized businesses that already talk to customers on WhatsApp and have outgrown doing it by hand — a few hundred to a few tens of thousands of contacts, one to ten numbers, a handful of people sharing an inbox.

Who is it not for?

Anybody who needs cold outreach to purchased lists. It is not a limitation we plan to remove: the guardrails that refuse it are the same ones that keep a number usable. If your list has no opt-in behind it, this is the wrong tool and it will fight you.

Do I need any technical skill?

To use the panel, no — you pair a number by scanning a code, and never see a line of code. To use the REST API or the MCP server, yes, but both are optional and nothing in the panel depends on them.

What languages does it work in?

You can send in any language. The interface is English, and the opt-out watcher recognises stop words in Turkish and English.

Numbers and connecting

What you pair, what happens to your phone, what breaks the link.

How does connecting a number work?

Add the number in the panel and scan the pairing code with the WhatsApp app on the phone that holds it. The session is then held by our WhatsApp service rather than by your browser, so you can close the tab and turn off your laptop.

Can I keep using WhatsApp on my phone?

Yes. The pairing is an additional device, like WhatsApp Web. Your phone keeps working and you keep seeing the conversations there.

Do I need a new SIM or a separate business phone?

No, and you should not want one. The value is in using the number your customers already have saved, so replies land on the line they recognise.

What disconnects a number?

Logging the device out from your phone, being offline long enough for WhatsApp to drop the session, or WhatsApp restricting the account. The panel shows the number as not connected and every send is refused with that reason rather than failing quietly.

How many numbers can one workspace have?

It depends on the plan, and the limit is genuinely enforced when you try to add one — this is not a number on a pricing page with nothing behind it.

Can two people use the same number at once?

Yes, that is what the shared inbox is for. Everyone in the workspace works the same line, and each message records who sent it.

Pace, hours and limits

How fast it sends, and everything that can hold a message back.

How fast does it send?

Six, twelve or twenty messages a minute, depending on whether you pick cautious, balanced or brisk. Even the fastest is deliberately modest — the ceiling is what the WhatsApp side can carry safely, not what our servers could push.

Can I set a daily ceiling?

Yes, on the workspace, and a single number or a single campaign can lower it further. The lowest one that applies is the one that counts.

What is warm-up?

A tighter daily cap on a new number with an end date on it. While it is in force it beats every other limit, because the fastest way to get a fresh line restricted is to send from it like an established one.

How do sending hours work?

Three layers, and each one can only tighten the window, never widen it: the workspace sets the outer bound, a number may sit inside that, a campaign may sit inside both. A number set to 00:00–23:59 cannot reopen hours the workspace closed.

What timezone are sending hours in?

For a campaign, UTC — there is no workspace timezone column yet, and guessing one would quietly shift everybody's window by hours. When you send from the inbox yourself, your own profile timezone is used. So enter campaign windows in UTC: 09:00–20:00 in Istanbul is 06:00–17:00.

Does a closed window lose the messages?

No. The run stops and the remaining people stay pending. It picks up when the window opens again, from the next unsent person.

Is there a monthly message limit?

Plans carry a monthly figure and the dashboard shows how much you have used against it. Be aware that today it is a number to watch rather than a wall — nothing cuts your sending off when you pass it. If you expect to go well beyond your plan, talk to us rather than discovering how we feel about it later.

Campaigns

Scheduling, pausing, and what a campaign will not do.

How do I schedule a send?

Give the campaign a future time and it arms itself. A scheduler checks every minute, so nine o'clock means nine o'clock. A time already in the past is refused when you save.

Is there a "send now" button?

No. Everything goes through the scheduler, so an immediate send means scheduling it a minute out. It is a small awkwardness that buys one guarantee: there is exactly one path a message can take out of the product.

Can I stop a campaign that is already going out?

Yes. It halts within a minute and remembers exactly who it had reached. Resuming continues from the next unsent person, and nobody can be messaged twice — one database row per recipient makes that a constraint rather than a promise.

When is the audience decided?

When the send starts, not when you saved it. Somebody added to the segment in between is included; somebody who opted out in between is not. The count while you are building it is an estimate for that moment.

What if a scheduled campaign misses its hour?

Left more than an hour past its time with a window open, it is cancelled rather than sent late, and the reason names the hour it was promised for. Last Tuesday's promotion arriving on Friday cannot be taken back; a cancelled campaign can be given a new time.

Can I put the customer's name in a campaign message?

Not yet, and this is the gap worth knowing about before you sign up. Campaign bodies are sent exactly as written — a {first_name} placeholder arrives as those literal characters. Placeholders do fill on automatic replies. The groundwork is there and the sending half is not written.

Can I test a campaign without messaging real people?

Not from the panel. Send a small campaign to a handful of numbers you own — it is the only rehearsal that also shows you how the message looks on a real phone. There is a dry mode, but it is an installation-wide switch held by whoever runs the server, and it marks every recipient as skipped, so it consumes the campaign rather than previewing it.

Why did it reach fewer people than the audience?

Because some were skipped, and every one of them carries a reason: blocked, opted out, consent required and missing. Read the reasons rather than the total — "skipped: 40" is a number, the reasons are an answer.

Inbox, team and permissions

Working one number with several people.

Is the shared inbox on every plan?

Yes. It is not gated — every workspace gets the inbox regardless of plan. What the plan decides is how many people and how many numbers.

Can I control what each person can do?

Yes. Roles are per area — contacts, campaigns, numbers, billing, logs and the rest — and each area separates seeing from changing. An owner and admin have everything; anybody else has exactly what you grant.

Is there a limit on team members?

Yes, seats come from the plan and the limit is enforced when you add somebody rather than being advisory.

Can I see who sent what?

Every outbound message records the person behind it, and the workspace audit log records the actions around it — who changed a sending rule, who deleted a contact, who revoked a key, who signed in and failed. Log entries are kept for 180 days.

Do the sending rules apply when I reply by hand?

The consent rules do; the scheduling ones do not. Answering somebody who just wrote to you is not what sending windows exist for, and refusing that at 20:01 would make the inbox useless. A blocked or opted-out contact is still refused.

Files, links and templates

Attachments, short links, and reusable message bodies.

Can I attach files?

Yes — images, video, audio, documents and stickers, up to 10 MB each. A campaign can carry one attachment, the same file for everybody on the list.

Can each recipient get a different attachment?

No. A campaign holds one file, so per-person documents — an invoice each, a personalised PDF — are not something it can do today.

What are the short links for?

Shortening a URL through Birsend so clicks are counted. You see the total clicks on a link and when they happened.

Can I see which individual clicked?

No. Clicks are counted per link, not per contact — nothing tags an outgoing link with who received it, so "who clicked" is not a question the data can answer. Worth knowing if you were planning to segment on it.

Can I use my own domain for short links?

Not from the panel. The link domain is set once for the whole installation by whoever runs the server, so it is not a per-workspace setting you can change.

What are templates?

Message bodies you save and reuse, so the same wording does not get retyped differently by four people. These are yours, not WhatsApp's — there is no approval queue.

Automation and AI

What can happen without somebody watching.

What can Birsend do automatically?

Reply to an inbound message. All the triggers are of that shape — a keyword arriving, a first-ever message from somebody, a message outside your hours. Each rule can answer with a fixed body, and placeholders do fill here.

Can it start something on its own, without a customer writing first?

No, and this is the honest boundary of the automation feature. There is no trigger for a date, an abandoned cart, an appointment tomorrow or a shipment status. Everything begins with an inbound message. Time-based sending is what campaigns are for.

Is there an AI assistant?

There is one real AI capability: an automation rule can answer using a language model you connect with your own API key, and what it decided to say is recorded on the run. Nothing else in the product is AI, and the earlier AI screens were withdrawn rather than left half-working.

Whose AI, and who pays for it?

Yours. You bring the provider and the key, so the model choice and the bill are both yours, and we are not reselling somebody else's tokens with a margin on top.

Will an auto-reply answer somebody who just unsubscribed?

No. The opt-out watcher runs before the automation rules for exactly this reason — being cheerfully greeted by a robot immediately after asking to be left alone is the worst possible moment for it.

For developers

The REST API, the MCP server, and what they will not let you do.

Is there an API?

Yes, a REST API with twenty-two endpoints, authenticated with a workspace-scoped key. It sends messages, reads conversations, and manages contacts, files and campaigns.

What is the MCP server?

A Model Context Protocol endpoint that exposes twenty-two tools, so an AI agent — Claude, or anything else speaking MCP — can work your workspace directly instead of you writing an integration.

Does the API bypass the sending rules?

No, and that is the point of where the guard lives. A key sending at three in the morning goes through the same seven checks as a person clicking send: connected number, blocked, opted out, consent required, campaign paused, workspace paused, window, daily cap. A refusal names the setting that refused it.

Can a key delete things?

No. There is no delete endpoint on the public API at all. An automated credential that can erase your contact history is a bad trade for the convenience, and if you need that, do it in the panel where somebody is accountable for it.

Is there a sandbox or test mode?

No. A request that passes the guardrails sends a real message, so develop against a number you own.

Are there outbound webhooks?

Not for your own integrations. Delivery receipts arrive to us over a webhook from the WhatsApp side, but Birsend does not currently call a URL of yours when something happens — you would poll.

Your data

What is kept, what you can take with you, what we will not claim.

Can I export my contacts?

Yes, from the contacts screen, as CSV or a plain text list. The columns match what the importer reads, so a round trip works.

Can I export my message history?

No. There is no message or conversation export in any format today. If leaving with your full history matters to you, ask us before you commit rather than after.

How long are messages kept?

Until you delete the conversation. There is no automatic message retention window — the only thing pruned on a schedule is the audit log, at 180 days.

What happens when I delete a contact?

They stop appearing and cannot be messaged, but the record is retained rather than shredded, and their message history stays with the conversation. If you need a person genuinely erased, write to us — it is not currently a button.

Is my data encrypted?

Connection secrets — your WhatsApp service tokens and any AI provider key — are stored encrypted. Contacts and message bodies are not encrypted at the database level, and we would rather say so than imply a guarantee we do not implement. Talk to us if that is a requirement and we will tell you honestly where we are.

Where is it hosted?

On a single server we operate. We are not going to print a region badge on a marketing page and sort out the details later — if hosting location or a data processing agreement is part of your decision, ask and you will get a straight answer about what exists today.

Do you read our messages?

Not as a practice, and nothing in the product mines them. Staff access to a production database exists in every hosted product, ours included; anybody claiming it is technically impossible is describing a system they do not run.

Account and money

Signing up, plans, invoices and leaving.

How do I sign up?

Create an account and a workspace, then connect a number. The pricing section lists what each plan includes.

How do plan changes work?

Through us rather than a self-serve checkout — there is no card form in the panel today, and a plan change is a conversation. What you can set yourself is the invoice identity: company or individual, tax number, address.

Can I cancel?

Yes, by telling us. There is no contract holding you in and no cancellation fee. Export your contacts before you go, and read the answer above about message history so nothing is a surprise.

Can I delete my workspace myself?

Yes, if you are the owner and it is not your only one — you type the workspace name to confirm, and it becomes unreachable immediately. Closing an account entirely is still something you ask us to do.

Will you email me about my usage?

No. This installation does not send email at all, so there are no usage warnings, no threshold alerts and no reports in your inbox. Everything is on the dashboard, which is why the allowance card is on it. Do not build a process that depends on a mail from us.

Is there two-factor authentication?

Not yet. It is not built, and the panel says so on the security screen rather than showing a switch that does nothing. What does exist is session management: you can see where you are signed in and sign out everywhere.

Before you commit

What Birsend does not do

If one of these is a hard requirement, you have just saved yourself a fortnight. We would rather lose the signup than the trust.

  • Per-recipient personalisation in campaigns

    A campaign body is sent as written. Placeholders fill on automatic replies only.

  • Time-based automation

    Every automation trigger fires from an inbound message. No reminders, renewals or abandoned carts.

  • Per-contact click tracking

    Clicks are counted per link. Which individual clicked is not recorded.

  • Message export

    Contacts export to CSV or TXT. Conversations do not export at all.

  • Email of any kind

    No alerts, no scheduled reports, no threshold warnings, no confirmation links.

  • A hard monthly cap

    The plan figure is shown on the dashboard but nothing stops sending when you pass it.

  • Two-factor authentication

    Not built. Session management and sign-out-everywhere are.

  • A self-serve checkout

    No card form. Plan changes and cancellations go through us.

  • Cold outreach to bought lists

    Refused by design, and the refusal is not configurable.

  • Official Business API features

    No verified green tick, no approved templates, no Meta conversation pricing.
